Our client, an SME whose key objective is to provide both investment advisory and portfolio management services for a range of private equity fund manager clients in Kenya and across East Africa is seeking to recruit an Office Manager for the Kenya Office. The successful candidate MUST be conversant with basic accounting procedures and fluency in French (spoken and written) would be an added advantage.
Key Responsibilities:
- Manage administrative life of the Office in compliance to Company policies.
- Administration of the electronic and physical data of office including filing documents.
- Preparation of market sector analyses, country reviews and daily press coverage.
- Keep stock of office supplies, place orders when necessary and welcome office guests.
- Schedule, follow-up and organization of the Boards and Committees.
- Follow-up of legal formalities such as required annual filings with Registrar of Companies.
- Manage travel logistics for team members – domestic & international travel bookings.
- Establish cost-effective relationships with various vendors for accommodation, communication etc.
- Prepare monthly management accounts for review and consolidation at Head Office.
- Track all office expenditure including bank account, credit card & petty cash reconciliation.
- Prepare monthly returns and corporate filings i.e. payroll matters – KRA, NHIF, NSSF, VAT etc.
- Prepare office budget, submit capital requests and track expenditure actual vs. budget.
- Ensure compliance with all Kenya laws including business license, audited accounts etc.
- Responsible for the audit process and communication with auditors.
Qualifications:
- Must have a Diploma/Degree in Business Administration or related field.
- Must have a minimum of 5 years’ office management experience in a multicultural environment.
- Have good communication skills, written and oral, in English. French is a plus.
- Be fully literate with Microsoft Word, Excel, PowerPoint and Outlook.
- Be organized, pro-active and autonomous and enjoy teamwork.
- Have an accounting or financial background familiar with IFRS.
- Attention to detail as well as ability to see the big picture.
- Be experienced in business administration and data filing.
